Privacy Policy

How Dialstitch collects, uses and protects personal information.

Effective November 2, 2026.

Dialstitch is a cloud phone system operated by Data McFly (1059105 B.C. LTD), a company in British Columbia, Canada ("Dialstitch", "we", "us"). This policy explains what personal information we collect when you use dialstitch.com and the Dialstitch app, how we use it, and the choices you have.

Two kinds of information

Account information is what we need to run your account: names, email addresses, team details, billing records and how you use the product. We decide how this is used.

Customer content is what flows through the service on your behalf: calls, recordings, voicemail, transcripts, AI notes and summaries, text messages, contacts and team chat. Your organization (our customer) controls this content and decides how it's used. We process it only to provide the service to them. If you're a caller or contact of one of our customers, please contact that business about your information.

What we collect

  • Account and profile details: name, email, password (stored hashed), team name, role and settings.
  • Billing details: plan, seats and invoices. Card numbers go straight to our payment processor; we never see or store them.
  • Call and message records: phone numbers, times, durations, outcomes and dispositions.
  • Recordings, voicemail, live transcripts and AI-generated notes, summaries and scores, when those features are on.
  • Text and picture messages sent and received through your numbers.
  • Contacts you add or sync from a CRM you connect (for example HubSpot, Salesforce or Zendesk).
  • Emergency (E911) addresses you provide so emergency services can find you.
  • Device and usage data: IP address, browser, pages viewed and errors, used to keep the service secure and working.
  • Messages you send to our support team.

How we use it

  • To provide the service: connect calls and texts, store recordings, transcribe, and generate AI notes and summaries.
  • To bill you and manage your subscription.
  • To keep the service secure, prevent fraud, spam and abuse, and enforce our Terms and Acceptable Use Policy.
  • To meet legal and carrier requirements, such as emergency calling, number porting and texting (10DLC) registration.
  • To support you and send service notices.
  • To understand and improve the product using aggregated or de-identified data.

We don't sell personal information. We don't use customer content to train our own AI models, and we don't use it for advertising.

Cookies and analytics

We use cookies that keep you signed in and remember settings such as your theme. Our website uses a privacy-friendly analytics script to count visits and see which pages are useful. We don't use advertising cookies.

Who we share it with

We share information only as needed to run the service, and only with providers bound by contracts to protect it:

  • Cloud hosting, database and storage providers.
  • Telephone and messaging carriers that connect your calls and texts.
  • Speech recognition and AI providers that produce transcripts, notes and AI voice agents.
  • Our payment processor and email delivery provider.
  • Integrations you choose to connect, such as your CRM, which receive data at your direction.
  • Emergency services, when you place a 911 call.
  • Authorities, when the law requires it or to protect people from harm.
  • A buyer or successor, if our business is sold or merged, under this policy.

Where it's stored

We're based in Canada and our providers operate in Canada, the United States and other countries. Your information may be stored and processed outside your province, state or country, under the laws there.

How long we keep it

Customer content is kept according to your organization's retention settings, which admins can set for recordings, transcripts, messages and other data. Account information is kept while your account is active and for a reasonable period after, as needed for legal, tax and accounting reasons. Deleted data can stay in backups for a limited time before it's overwritten.

Security

We use encryption in transit, access controls, signed webhooks and audit logs to protect your information. No system is perfectly secure, so please use a strong password and tell us right away if you suspect a problem.

Call recording and consent

Our customers decide whether calls are recorded and transcribed, and they're responsible for telling callers and getting any consent the law requires.

Your choices and rights

Depending on where you live, you can ask to access, correct or delete your personal information, or withdraw consent. Canadian privacy law (PIPEDA and BC PIPA) gives you these rights, and similar laws elsewhere may too. Team admins can export and delete most data in the app. For anything else, email privacy@dialstitch.com. We'll answer within 30 days. If your information is customer content, we'll pass your request to the business that controls it.

Children

Dialstitch is a business service for people 18 and over. We don't knowingly collect information from children.

Changes

We'll post changes here and update the effective date. If a change is significant, we'll tell account owners by email or in the app before it takes effect.
